Old King William Campsite reserves the right to change this website, including prices and terms and conditions, without notice. We also reserve the right to refuse entry to the campsite, cancel bookings, or instruct people to leave the campsite for any reason (for example due to inappropriate behaviour, dangerous weather or site conditions.)
Use of the Glamping Holiday website constitutes acceptance of our Terms and Conditions and Privacy Policy.
Privacy
Your contact and personal details may be kept by us for future mailings and news. If you do not wish to receive these, please let us know. You may also opt out of receiving emails at any time by contacting us. The booking process asks for your address details and phone numbers, these are required by the Local Authority so at any time we can prove you are not residents at the camp site. It also allows us to contact you should the internet fail and if we need to contact you whilst you are travelling to the campsite. Please note that your financial details are NEVER stored, nor seen, by us.
We will not pass on or sell your details to any third parties.
Booking
To secure your booking we require a £100.00 non refundable deposit. The remaining balance is then due 8 weeks prior to arrival. If the booking is less than 8 weeks away then payment is required in full. A confirmation email will be sent once we have received your payment.
The person booking is responsible for disseminating the appropriate information sent to them to others in the party. For example, these Terms and Conditions, the site kit list including directions and on arrival the information pack within each tent. This is to ensure they are fully aware of the nature of the campsite, health and safety issues, the wider woodland, the facilities and appropriate clothing/footwear they require.
We have a minimum stay of 3 nights. If any members of your party are only staying for the night then our minimum 2 nights stay policy still applies.
Payment
Payment is taken via Paypal or bank transfer. Payment is taken in UK Pounds Sterling only.
Deposit
A deposit of £150.00 per tent is required to secure against damages, anti social behaviour or any additional cleaning. The Old King William site is considered to be a quiet area and we do ask guests to keep noise levels to a minimum after 10pm out of courtesy to other guests and the residents on the estate. If there are any complaints about your behaviour you will be given one warning. If you continue then you will be asked to leave the site and you will loose your deposit. No refund will be given.
Changes to bookings
Please let us know as soon as possible. Where changes are possible there will be an administration fee of £25.00. Changes must be made in writing by the person who made the booking.
You cannot change a booking within 30 days of your arrival date.
Cancellation
If cancellation is made 8 weeks prior to arrival then the paid sum will not be refunded. It can be held over to another date, subject to availability later in the year or the following year. If this option is taken there will be a £25.00 handling charge.
If you roll over to another date for which a higher sum is charged, you will need to pay the difference.
If cancellation is made within 3 weeks of the arrival date 100% of the total sum will not be refunded (as generally we cannot re let the tent in that time) and your stay cannot be rolled over to a later date.
Any cancellation or change must be confirmed in writing / email, by the person who made the booking.
The site is not liable for refunds or expenses you incur in the event we are prevented from fulfilling your booking as a result of circumstances beyond our control. Such circumstances shall include (but are not limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, health risks or such similar events (“Force Majeure”) We strongly advise visitors to take out full holiday insurance to cover cancellations, public liability, personal belongings, loss etc.
Our rights to cancel your stay
We may cancel your stay at any time in writing to you if:
1. You do not make any payment to us when it is due and you still do not make payment within 14 days of us reminding you that payment is due.
2. You do not, within a reasonable time of us asking for it, provide us with the information that is necessary to provide the glamping services such as guest numbers.
If we end the contract under points 1 and 2 then you may be subject to a cancellation charge in accordance with our cancellation policy above.
Arrival and Departure Times
Check in is between 4pm-7pm. Guests must advise us of their estimated arrival time and telephone when they are half an hour from the glamping site. If you are likely to be later than 7pm please let us know so we can arrange for someone to meet you and show you to your tent.
Guests are required to vacate their tents by 10.30am on day of departure.
Group Bookings
If you are planning to have a noisy all night party then we are not the site for you.
It is essential that the entire group is made aware of the following Terms and Conditions. This responsibility lies with the person making the booking in order to ensure that the Terms and Conditions are adhered to.
PLEASE NOTE IF THE GROUP FAILS TO ADHERE TO ANY OF THESE TERMS AND CONDITIONS, YOU WILL BE ASKED TO LEAVE WITHOUT ANY REFUNDS AND YOU WILL LOSE YOUR DEPOSIT. WE ARE A LOW NOISE POLICY GLAMPING SITE.
The group organiser is responsible for collecting the deposits and final balances which are required to secure the booking.
Final numbers must be confirmed 8 weeks prior to arrival. If numbers drop within one month of arrival then no refund will be given.
There must be no more than 20 guests on site.
Only those guests originally booked are permitted to stay on site. Any extra guests (adults or children) will only be permitted on site at the owner’s discretion. If additional guests are allowed on site, then extra charges will be incurred at £25.00 per day.
Quiet background music is permitted until 10pm.
When enjoying yourselves here at Old King William, particularly at night, please be considerate to your neighbours. The estate where our tents are located have their own camping business in the neighbouring field, separated only by a post and rail fence. There are also residents on the estate. THEREFORE NOISE LEVELS MUST BE KEPT TO A MINIMUM AFTER 10 PM. If there are any complaints about your behaviour you will be given ONE warning. If you continue to be disruptive then you will be asked to leave the site and you will lose your deposit. No refund will be given.
If any property is damaged during your stay then please inform the owner immediately. Serious damage to property will result in the group being charged the full amount for a replacement.
Do not use any fireworks, sparklers or Chinese lanterns.
If you have organised for external suppliers e.g. activity providers to visit during your stay then we must be made aware of this. You are required to provide us with the details of any company visiting the site. This includes the times in which they will be present on the site.
On the morning of check out, you must have cleared everything out of your tents and huts by 11am or by arrangement so that they can be cleaned.
Your visit to Stody
Guests and visitors agree to be considerate tenants and to take good care of the tents and facilities during their stay. Guests and visitors agree not to act in any way which would cause disturbance to other guests. Should any facilities, equipment, or inventory be damaged wilfully as a result of inappropriate usage or behaviour, or a as a direct result of failing to respond to instructions from Old King William staff you will be held responsible for the cost of repair or replacement of that item. Old King William cannot accept responsibility for any loss, damage or expense arising from industrial action, terrorist activity, adverse weather conditions or any other event outside the control of the company.
By booking and coming to Old King William you agree to be responsible for your children and any children you are in charge of as well as your own welfare. You also agree to take all reasonable precautions against personal injury, injury to others and damage to the woodland, facilities and tent. Old King William is not responsible for any damage or loss to your possessions that you bring to the campsite or wider woodland. You use the facilities and amenities at the camp and wider woodland at your own risk, e.g. the firepits and hot tubs. Candles and tea lights found in the tents must be within the candle holders and containers when alight (with the exception of the dining table candelabra which must remain on the dining table when lit.) Old King William accepts no responsibility for any loss or injury arising from being in the campsite or wider woodland . By booking, acknowledging these Terms and Conditions, you are aware of the risks, hazards, and dangers of personal injury in entering the campsite and woodland. (For example, the woodland may contain deadly poisonous mushrooms, toadstools, and fungi.)
Camping in Britain can mean dramatic variance in weather in a short period of time. Whilst we supply certain facilities and equipment, as described in the inventory sent to guests on confirmation of payment it is still camping and you are responsible for your own well being and comfort regarding appropriate clothing and footwear etc. In extreme weather conditions such as exceptional cold and snow, when forecasted we do our best to warn guests and give them the option to move dates (subject to availability) without being subject to the cancellation policy administration handling charge, or loss of any monies. Be aware the tents are cotton canvas and in prolonged and heavy rain the tents may leak.

Health and safety
We very much want guests to have an enjoyable and safe stay in our Old King William Shepherds Huts. Accidents can happen at any time, to the most careful of people, but there is an added risk when one is in unfamiliar surroundings. For your safety and information, we have tried to identify possible sources of ‘danger’ and advise how to avoid these and minimise risks.
Guests
We have identified two groups for whom the huts are not suitable for: children and infants, and any adult with mobility problems, unable to cope confidently and safely with steps and/or open treads stairs. The stairs; the stairs could be slippery in rain, so extra care should be taken. Note Guests must take every care to ensure the safety of any visiting child/infant or less mobile adult.
Fire
Please familiarise yourself with the detailed instructions for use of the Fire equipment provided, and fire escape procedures, in the Welcome Pack provided for guest’s information. The Fire equipment provided is a fire extinguisher and a fire blanket. We do ask guests to be extremely sensible and aware of the special dangers posed by fire, and the risk to personal injury. • Never leave cooking on the hob, unattended. • Never leave an electrical appliance, unattended, such as the toaster, hairdryer or Electric iron. • Please ensure all electrical appliances & lights are switched off, before going to bed. • Please be aware of the dangers of a naked flame (candle) at all times, never leave unattended. Do not place a candle near any inflammable material, never leave unattended, do not use candles anywhere near to the bed. • Please note, “Tea lights” and candles are not allowed. • Old King William Shepherds Huts has a No Smoking policy within its property. Smoke Detector are fitted over the bedroom. Emergency lighting; A torch is provided.
Wood-Burners- internal (if applicable to your hut) and external for hot tub.
Detailed instructions for lighting and regulating the wood- burning stoves are supplied in the Information and Advice folder for guest’s further information. • Do not leave matches or spare logs on top of the stove. • The wood-burner is to be used only with the door closed. Please ensure it is firmly closed, and ‘dampened down’ before going to bed. • If you are not confident or unsure of how to operate please ask us and we will be happy to help.
The Hot Tub
• Hot tubs are emptied and cleaned thoroughly before being refilled for the arrival of every new visitor. • Hot tubs are wood fired; please read safety guidelines regarding wood burners. • Please unclip cover and store carefully when in use, when not in use please secure all 4 clips. • Please wash feet prior to entering the hot tub as sand and dirt can clog the filters and be unsanitary. • Hot tubs have chlorine tablet floating containers in them- please remove unit prior to getting in the tub. • Hut tubs heat by convection therefore tub will have a hot layer on top and cold beneath- please stir water with the paddle provided and check water temperature before you get in. • Hot tubs are not to be used by children unattended nor by adults under the influence of alcohol. • Please do not eat nor use glassware in the hot tub. • Please take care entering and exiting the tub as wet steps may be slippery.
Hygiene and Welfare
No pets are allowed at the property unless previously agreed with Old King William management. • Where possible we use Ecological cleaning materials and re- cycled paper toilet tissue. • We clean huts prior to each new arrival, or weekly for guests staying a fortnight or longer. • Mattress protector and pillow protection are fitted. Sheets, duvet covers & pillowcases are cotton. • Note, some lights have energy saving light bulbs. • During the Summer months there may be some light penetration into the bedroom area, from the windows in the Huts Water Boiler- The Shepherds Huts have an electrics feed from our main house. Each hut has its own electric water boiler which feeds hot water for taps and shower. Please use in a conservative manner.
Disposal of Waste
Please help us by sorting your refuse into the appropriate bin. -A Recycling Bin is stored in the car parking area. A bin is provided in the kitchen, spare liners are provided. Please do not leave rubbish outside as this will attract vermin . RECYCLABLE - glass bottles/jars, aerosols, plastic containers & cartons, including lids, paper, cardboard, steel and aluminium cans/ foil/takeaway trays - please rinse all items before placing in bin. NON RECYCLABLE- plastic bags, food waste, nappies, etc must be bagged in a liner and will be collected upon request or after you have left the Shepherds Hut.
Flooding
Internally, please do not leave any tap running, as there are potential serious consequences. Please do not leave the shower, basin, kitchen sink taps nor the outside hose running, unattended.
Bathroom
Please take care when getting in or out of the shower and be aware that a wooden floor can become slippery. Please use the bath mat provided, to prevent slipping.
Parking
You are welcome to drive carefully onto the site (5 mph max speed) being aware of others and unload your vehicle if the ground is dry - however we ask you once this is done to park your vehicle on the gravel by the main gate.
General
It is of the utmost importance for guests to read the information that we send you in advance of your arrival, (key collection etc), and the Welcome Pack on arrival. Please also ensure that you familiarise yourself with the hut, its surroundings and all safety instructions.
